Reception

Wedding Reception Timeline: Hour-by-Hour Sample Schedule

This is the wedding reception timeline I keep on my phone, minute by minute, for a 5 PM ceremony. Cocktail hour, dinner, toasts, first dance, cake cutting, send-off, all in the order that actually works when your DJ, photographer, and caterer are all watching the clock. Slide the times to your ceremony, keep the sequence, and your reception will run without anyone hunting you down.

How to adjust for your ceremony time

Anchor everything to when the ceremony starts. Cocktail hour is 60 minutes, no more. Plated dinner runs 60 to 75 minutes, a buffet 45 to 60. The dance floor needs at least 90 minutes before it feels like a party. If you are marrying at 3 PM, stretch the gap after cocktail hour so nobody is sitting down to dinner at 4:30.

Who owns each part of the timeline

  • Coordinator. Owns the clock and cues every transition.
  • DJ or bandleader. Announcements, moving people onto the floor, reading the room.
  • Photographer. First dance, toasts, cake. Give them ten minutes' warning before each.
  • Caterer. Pace of service and clearing between courses.

Frequently asked questions

How long should a wedding reception be?
Five hours is standard: an hour of cocktails, then four of dinner and dancing. Under four and a half feels rushed. Past six, people start leaving.
When should we cut the cake?
About 90 minutes after dinner. It quietly tells older guests the evening is winding down and they can head home.
Do we need a receiving line?
No. Most couples skip it and visit each table during dinner instead, roughly two minutes per table.
What time should the reception end?
Most venues cut music at 10 or 11 PM. Book a nearby after-party or hotel bar if you want to keep going.
